Front Office Manager/Reservations

Overview

This role encompasses the engine room of communication between guests and the lodge. Duties will require the individual to liaise frequently with guests ensuring that sufficient information is received to ensure an incredible stay. The role is highly administrative and requires the individual to have great organizational skills, good time management, and strong attention to detail.

Education / Professional experience:
  • High level Microsoft Office and reservation systems experience.
  • Excellent proficiency in the English language.
  • Good public relations and social interaction skills. A good ability to develop relationships with guests.
  • Strong organizational and administration skills.
  • The ability to work efficiently under pressure and to complete tasks timeously.
Responsible For
  • Answering/referring phone calls.
  • Receiving/sending emails to communicate with guests/suppliers/etc.
  • Ensuring guest questionnaires are sent and consolidating the information received from guests prior to their arrival.
  • Recording payments, conduct payment follow ups where necessary, and run credit cards where payments are made accordingly.
  • Making reservations for guests and converting enquiries where required.
  • Receiving/conveying messages over the radio when needed, ensuring that the correct radio procedure is followed.
  • Hosting duties at mealtimes.
  • Checking guests in:
    • Greeting them with refreshment towels and a welcome drink.
    • Introducing them to their host, barmen, etc.
    • Conduct an orientation of the main building and escort them to their rooms.#
    • Update any guest information from the check-in where necessary.
  • Checking guests out:
    • Giving guests their bills, ensuring any amendments/additions are made beforehand.
    • Receiving payment via cash or card
    • Ensuring room key is returned and luggage has been collected and/or out of the rooms.
    • Ensuring the guide is ready with the transport back to the carpark.
  • Managing petty cash/ cash payments
  • Controlling debtor accounts
  • Pulling reports and assisting with account queries where required.
  • Upselling of lodge facilities such as the spa, curio shop, and/or bar purchases.
  • Assisting guests with any questions/ queries that they may have during their stay.
  • Assist with spa booking made during the reservations process prior to the guests’ arrival.
  • Assist with building rates and updating the rates where necessary.
  • General admin tasks, filling, and paperwork.
  • Assisting management when required.
